Executive Assistant 

 

JOB PURPOSE

 

The Executive Assistant works with the CEO to provide one-on-one support by offering personalized assistance with business and home life.  This position will be expected to exceed expectations in running business and personal errands, offer administrative support to the CEO as it pertains to the office and business, and fulfill any reasonable demands from company leadership. The Executive Assistant will be able to take direction well, as well as should know when to take initiative and be a self-starter. This position requires a quick learner who is patient and diplomatic with many personalities, has a positive attitude, great interpersonal skills, is well-presented & professional.

DUTIES AND RESPONSIBILITIES

Provide administrative and personal/home support to the CEO  as needed, including:

GENERAL:

 

    • Act intuitively to take initiative where necessary. Find ways to help business run smoothly
    • Play a critical role in maintaining a positive work environment
    • Work with a sense of energy

    OFFICE:

    • Administrative tasks as requested by the CEO
    • Administrative tasks to supplement the Office Manager/Sales Assistant and increase overall office productivity
    • Manage the inventory of office supplies, ordering additional supplies as needed and ensuring that costs are appropriately managed
    • Maintaining office equipment by assisting with procurement and routine maintenance and upkeep
    • Arrange for and supervise building maintenance
    • Run business errands
    • Answer and manage incoming calls
    • Organize travel and prepare itineraries
    • Plan and schedule meetings/events
    • Make copies, order lunch, and prepare rooms for meetings
    • Take minutes during meetings
    • Work with the CEO to coordinate all team activities such as employee luncheons, volunteer activities, social engagements and holiday celebrations
    • Plan and coordinate space allocations, layouts, and floor moves as required
    • Conduct or prepare any research that the CEO may require
    • Manage business projects when necessary

     

    HOME:

    • Assist with child care, including drop-off and pick-up during work hours, and other logistics related to the children
    • Scheduling household maintenance
    • Running household/personal errands
    • Pet care
    • Grocery shopping
    • Occasional meal preparation
    • Light housekeeping and laundry
    • Household organizational projects
    • Bookkeeping, managing expenses, and bill-paying
    • Various ad hoc requests
